Term's & Conditions

These Terms and Conditions apply to all parents, guardians and clients who access the CK4KIDS website, book appointments, attend sessions or receive services at CK4KIDS. By using our services, you agree to the terms outlined below.


1. Appointments and Bookings

Appointments can be booked online, by phone, email or in person. Appointments are allocated a specific time and clinician. We ask families to arrive on time to allow sessions to run smoothly.

Late arrival may result in a shortened session, with the full appointment fee still applicable.


2. Cancellations, Rescheduling and Non Attendance

We understand that family life can be unpredictable. We require a minimum of 24 hours’ notice to cancel or reschedule an appointment.

Appointments cancelled with less than 24 hours’ notice, or missed without notice, may incur a cancellation fee equal to the full appointment cost.

For NDIS participants, late cancellations and non attendances may be charged in accordance with the current NDIS Pricing Arrangements and Price Limits.


3. Fees and Payments

All fees are payable on the day of the appointment unless prior arrangements have been made. CK4KIDS accepts private payments, NDIS self managed and plan managed funding, Medicare plans and private health rebates where applicable.

Parents or guardians are responsible for ensuring correct billing and funding details are provided prior to appointments.


4. NDIS Services

For NDIS participants, services are delivered in line with the goals outlined in the participant’s current plan. CK4KIDS does not guarantee approval of funding for therapy, reports or assessments.

It is the responsibility of the participant or their representative to ensure sufficient funding remains available at the time services are delivered.


5. Medicare and Private Health Rebates

Medicare rebates may apply where a valid referral and care plan are provided. Private health rebates depend on individual fund policies.

CK4KIDS cannot guarantee rebate eligibility or rebate amounts, and families are encouraged to confirm details with their fund or Medicare directly.


6. Clinical Care and Therapy Outcomes

CK4KIDS clinicians provide evidence informed, child centred care tailored to each child’s needs, abilities and goals. Therapy outcomes vary between children, and no guarantees are made regarding specific results or timeframes.

Parents and guardians are encouraged to actively participate in their child’s therapy and follow recommended home programs where appropriate.


7. Consent to Treatment

By attending appointments, parents or legal guardians consent to assessment, treatment and clinical decision making for their child. Consent may be withdrawn in writing at any time.

In cases where consent cannot be obtained and immediate care is required, clinicians will act in the best interests of the child within professional and legal obligations.


8. Privacy and Confidentiality

CK4KIDS is committed to protecting your privacy. Personal and health information is collected, stored and used in accordance with Australian privacy legislation and our Privacy Policy.

Information will only be shared with other professionals, schools or funding bodies with appropriate consent or where required by law.


9. Child Safety and Safeguarding

CK4KIDS is committed to providing a child safe environment. All staff comply with child safety standards and appropriate screening requirements.

Any concerns regarding a child’s safety or wellbeing will be managed in line with our Child Safe Policy and mandatory reporting obligations under NSW law.


10. Behaviour and Safety in the Clinic

We are committed to maintaining a safe, respectful and welcoming environment. Aggressive, abusive or unsafe behaviour towards staff, children or other families will not be tolerated and may result in termination of services.

Parents and guardians are responsible for supervising siblings and ensuring children behave safely within the clinic.


11. Infection Control and Illness

To protect children, families and staff, we ask that appointments be rescheduled if your child or household member is unwell with a contagious illness.

CK4KIDS follows infection control guidelines and may modify services or request rescheduling where health and safety concerns arise.


12. Telehealth Services

Where offered, telehealth services are provided using secure platforms. While telehealth can be effective, it may not be suitable for all children or goals.

CK4KIDS is not responsible for technical issues outside of our control, including internet connectivity or device limitations.


13. Communication

CK4KIDS may contact families via phone, email or SMS regarding appointments, reminders, invoices and relevant clinical information. It is the responsibility of families to keep contact details up to date.


14. Reports, Documentation and Records

Reports, letters and documentation are prepared based on clinical findings at the time of assessment. CK4KIDS cannot guarantee funding approvals or outcomes based on reports provided.

Clinical records remain the property of CK4KIDS and are stored securely in line with legal requirements.


15. Photography and Media

Photography or recording within the clinic is not permitted without prior consent from CK4KIDS staff and all parties involved.

Images or videos used for educational or marketing purposes will only be used with written consent.


16. Website Use

Content on the CK4KIDS website is provided for general information only and does not replace professional medical advice. Website content may not be copied, reproduced or distributed without written permission.


17. Limitation of Liability

To the extent permitted by Australian law, CK4KIDS is not liable for any loss, damage or injury arising from the use of our services or website, except where such liability cannot be excluded by law.


18. Complaints and Feedback

We welcome feedback and aim to resolve concerns promptly. Complaints can be made directly to the clinic. If a matter cannot be resolved, families may access external complaint bodies relevant to the service provided.


19. Termination of Services

CK4KIDS reserves the right to suspend or terminate services where there is repeated non attendance, non payment, unsafe behaviour or breach of these Terms and Conditions.


20. Changes to These Terms

CK4KIDS may update these Terms and Conditions at any time. The most current version will be available on our website and will apply from the date of publication.


21. Governing Law

These Terms and Conditions are governed by the laws of New South Wales, Australia.
